SUMMARY:

As part of NATO’s International Staff (IS), the Executive Management (EM) Division has the lead role in the overall management of the NATO HQ. The EM Division covers the following directorates: HQ Support and Transformation (EM-HQST), Human Resources (EM-HR), and Information Communication, and Technology Management (EM-ICTM).

Within the Executive Management Division, the Interpretation and Conference Services (ICS) provides direct support to NATO’s core business - the daily consultation among nations. It includes all the components found in established International Organisations for the provision of modern conference services, including bookings, planning and coordination, and the provision of technical Audio-Visual (AV) support, room preparation and interpretation for all official NATO languages and others on request.

The HQ is a cutting edge building presenting 21st century challenges. All NATO conference and meeting facilities are under the purview of the AV Services to a greater or lesser extent in terms of operations, maintenance and user support.

Under the direction of the Lead, AV Infrastructure Management, the incumbent is responsible for managing all AV assets and consumables. The incumbent is also responsible for the coordination, setup and support of all AV required for special events at the HQ premises, including for Senior Management.

QUALIFICATIONS AND EXPERIENCE:

Essential

The incumbent must:

  • Possess a higher secondary level diploma or an equivalent level of qualification in a relevant field of study;

  • Have at least 4 years of recent experience in the AV field in an operational/technical role with a strong focus on configuring AV systems for events and effectively overseeing technical resources;

  • Demonstrate a good knowledge of AV infrastructure, systems and networks;

  • Be proficient in the effective utilisation of asset management tools and software systems to streamline and enhance asset tracking and reporting processes;

  • Be able to work cooperatively in a team environment with a variety of individuals from diverse backgrounds and interact in a discreet and effective manner with the senior officials;

  • Be willing & able to occasionally work outside of regular office hours in response to crises and urgent requirements;

  • Possess the following minimum levels of NATO’s official languages (English/French): V (“Advanced”) in one; II (“Elementary”) in the other.


Desirable

The following would be considered an advantage:

  • Certification in sound engineering.


MAIN ACCOUNTABILITIES:

Planning and Execution

  • Under the supervision of the Lead, AV Infrastructure Management, manage the AV assets and supplies, ensuring that both physical and digital inventory levels are appropriately sustained, well-organised, and ready for rapid deployment in production. Evaluate inventory needs and implementing strategies to meet those needs. Prepare the associated resources, plan and execute the logistical tasks and physical installations and works against event deadlines. Provide in-situ support; take remedial action for technical issues likely to affect events, immediately if necessary. Provide intermittent assistance to the AV Innovation and Transformation team for project-related assignments, or offer support for operational requirements as needed.


Expertise Development

  • Take lead in implementing, directing and sustaining continuous improvement initiatives with regard to inventory management, event support installations and procedures. Collect input and feedback from end-users and leverage this information to improve the services delivered to our clients.


Stakeholder Management

  • Keep other services and stakeholders informed of event requests and later developments. Ensure they are informed of changes in a timely manner and engage with them to identify solutions to scheduling issues. Inform clients on the use of the event-related installations. Build and maintain effective collaborative relations with the many clients and stakeholders of the service within the Organisation and beyond to help capturing requirements, managing expectations and facilitating service delivery. Receive, analyse and coordinate with relevant stakeholders the AV requirements related to special events. 


Project Management 

  • Contribute, as required, to projects aimed at improving and modernising existing AV systems. Stay constantly informed of developments in the technologies available on the market to improve and modernise the event related AV infrastructure. Find ways to be faster, better and more effective in coordinating service requests, managing information and using associated tools.


Information Management

  • Keep the inventory management records up to date. Ensure that deadlines are met and that changes in priorities are communicated and understood by the AV Operations staff. Perform any other related duty as assigned.


INTERRELATIONSHIPS:

The incumbent reports to the Lead, AV Infrastructure Management and cooperates closely with AV Operations section. The incumbent is in regular contact with end-users - IS, International Military Staff (IMS), Delegations, Agencies and other NATO Bodies.

CONTRACT:

  • Contract to be offered to the successful applicant (if non-seconded): Definite duration contract of three years’ duration; possibility of an indefinite duration contract thereafter;

  • Contract clause applicable: In accordance with the NATO Civilian Personnel Regulations, the successful candidate will receive a definite duration contract of three years, which may be followed by an indefinite duration contract;

  • If the successful applicant is seconded from the national administration of one of NATO’s member States, a 3-year definite duration contract will be offered, which may be renewed for a further period of up to 3 years subject to the agreement of the national authority concerned. The maximum period of service in the post as a seconded staff member is six years;

  • Serving staff will be offered a contract in accordance with the NATO Civilian Personnel Regulations.
