THE OPPORTUNITY:

Plan International’s Executive Office is seeking a Senior Officer to the CEO — a key role within the CEO’s core team, responsible for delivering high-level coordination, operational excellence, and strategic liaison in a dynamic, mission-driven, and politically nuanced global environment.

The Senior Officer will help to enable the CEO to operate at maximum effectiveness by ensuring timely access to strategic briefings, robust follow-up mechanisms, insightful analysis, and decision making support. Responsibilities include engaging with internal and external stakeholders, contributing to agenda development and preparation, synthesising complex information and recommendations, producing high-quality materials for the CEO, and ensuring diligent follow-through on key actions and commitments.

ROLE PURPOSE:

The Executive Office at Plan International is looking for a Senior Officer to the CEO. This role will be a core member of the CEO’s executive office, providing high-level coordination, operational support, and critical interface in a fast-paced, politically aware, and mission-driven global environment.

The role is designed to ensure the CEO can operate effectively by having immediate access to high-level briefings, follow-up systems, insights, and analytical support. This includes liaising with internal and external stakeholders, supporting agenda-setting and preparation, synthesising data and recommendations, developing CEO materials and ensuring timely follow-up on key commitments.

The Senior Officer is focused on real-time execution, intelligence gathering, issue tracking, and stakeholder interface management, enabling the CEO to lead with clarity and impact. The role works in close partnership with the Chief of Staff and requires excellent judgment, discretion, and a strong grasp of global development and humanitarian dynamics.

DIMENSIONS OF THE ROLE:

  • Supports the CEO’s daily functioning through the preparation of briefings, synthesised analyses, and follow-up management;

  • Works under the direction of the Chief of Staff to deliver short-term strategic projects or ad hoc priority workstreams;

  • Supports high-level convenings, including preparation and output tracking from CEO-chaired forums and bilateral meetings;

  • Contributes to the efficiency and smooth operation of the CEO’s front office by working in alignment with the Senior Executive Assistant, Senior Writer, and others in the Executive Office


ACCOUNTABILITIES:

CEO Agenda and Engagement Planning

  • Act as a strategic gatekeeper for the CEO’s calendar, working closely with the Senior Executive Assistant to ensure time is aligned with priorities, rhythms are maintained, and follow-up is built in;

  • Think ahead on upcoming engagements and visits, proactively proposing relevant readings, political context, and angles to guide the CEO’s positioning;

  • Support the Chief of Staff in planning the CEO’s overall engagement strategy, and lead on coordinating the logistics, preparation, and delivery of individual engagements.


Stakeholder Coordination

  • Manage and prepare documentation for the CEO for high-level meetings with senior stakeholders, partners, and leadership meetings;

  • Attend key CEO meetings and events to capture commitments, key messages, and follow-up actions;

  • Coordinate the delivery of agreed outcomes and ensure timely follow-up on commitments;

  • Work with the Senior Executive Assistant to schedule follow-ups and ensure actions are reflected in the CEO’s calendar rhythm.


Briefing and Decision Support

  • Prepare high-quality briefing notes and talking points for the CEO’s internal and external engagements;

  • Coordinate timely inputs from global and regional teams to inform meetings and speaking engagements;

  • Conduct rapid desk research and synthesise key insights on emerging issues or CEO requests.


Executive Office Coordination and Action Tracking

  • Track CEO action points and ensure timely follow-up with clear ownership and deadlines;

  • Monitor coordination needs and suggest improvements to Executive Office systems and workflows;

  • Act on priorities emerging from weekly CEO–Leadership Team check-ins, as directed by the Chief of Staff;

  • Ensure the CEO is equipped with relevant context and materials ahead of key leadership engagements.


Strategic Internal Contribution

  • Contribute to the development of internal materials such as Board reports, dashboards, and performance summaries;

  • Coordinate input and data collection for key deliverables linked to CEO priorities;

  • Assist the Chief of Staff in mobilising support around urgent priorities or time-sensitive workstreams.


KEY RELATIONSHIPS:

  • CEO: Works in close daily alignment with the CEO, supporting priority meetings, engagements and follow-up. Operates with discretion, trust, and responsiveness to the CEO’s immediate needs;

  • Chief of Staff: Line manager for the role. Provides strategic direction, prioritisation, and oversight;

  • Senior Executive Assistant: Works in close collaboration to ensure logistical, scheduling, and administrative needs are aligned and well-coordinated;

  • Senior Writer: Coordinates on inputs needed for CEO speeches and communications; ensures briefings are aligned with messaging;

  • Executive Office team: Collaborates with project, communication, and coordination staff to deliver cross-cutting CEO priorities;

  • Wider Leadership and Global Functions: Liaises to gather insights, briefing material, and monitor follow-up on action items. Builds strong working relationships across functions, especially with influencing, partnerships, and governance teams, to ensure the CEO’s agenda is informed and supported.


TECHNICAL EXPERTISE, SKILLS AND KNOWLEDGE:

Essential

  • Relevant experience in a senior coordination, policy, or executive support role;

  • Experience in international development, humanitarian affairs, or global governance;

  • Proven ability to operate in a high-pressure, front-office environment with discretion, diplomacy, and professionalism;

  • Strong skills in written communication, briefing development, and synthesising complex content for executive audiences;

  • Experience working in a complex, multicultural, global organisation or intergovernmental body;

  • Ability to manage multiple priorities with tight deadlines and excellent attention to detail;

  • Strong interpersonal skills with the ability to liaise effectively with senior leaders and external partners.


Desirable

  • Understanding of feminist leadership, anti-racism principles, and values-based leadership behaviour;

  • French, Spanish, or Arabic language skills.

WHAT WE OFFER:

The Senior Officer will be in close collaboration with the CEO throughout the working day and will travel with them fairly regularly. Although the location of this role can be flexible where Plan International has an office* that can employ on behalf of the Global Hub and you have the pre-existing right to work and live, the CEO is based in Nairobi, Kenya and therefore it is likely that proximity to the UTC+3 timezone will be most practical for the successful applicant.
