CONDITIONS:

  • Salary: London £44,561 per annum / Berlin €55.302,12 per annum / Brussels €3.958,13 per month;

  • Location: Berlin, Brussels, London;

  • Contract Type: Fixed Term;

  • Contract Duration: 6 months;

  • Hours Details: Contract end date would be 31/12/2025. Would consider someone working 3 days per week;

  • Expected Start Date: June/July.


ABOUT THE ROLE:

We are looking for someone in our London/Brussels/Berlin offices with strong charity sector experience to help drive practical change in compliance, tools, and systems. Join us on a fixed-term basis to lead process improvements and advise on funder compliance, supporting a growing and dynamic fundraising team. Part-time (3 days a week) or Full-time considered.

MEET YOUR MANAGER:

In this role, you will be managed by Laura Mertsching. Laura joined ClientEarth in 2022 and is based in London. For 2.5 years, Laura has been focussed on improving our policies, processes and tools to improve funder compliance and efficiency, and working in collaboration especially with fundraisers, internal legal council and finance staff. At the beginning of 2025, Laura was seconded to lead a cross-departmental project to align internal systems, processes and tools, which is why she is hiring a support role at the moment to drive forward key initiatives of her original role. Laura is an experienced project manager with experience working in the humanitarian and international development sector for more than five years before joining ClientEarth.

MAIN DUTIES:

  • Contributing to the delivery of the global Fundraising Strategy through driving improvements of relevant policies, processes and tools along the entire funding management cycle ensuring effective and efficient internal operations;

  • Effectively plan and deliver priority initiatives (including policy revision, risk matrix tool development, streamlining corporate income processes) collaborating with stakeholders across the organisation to ensure that relevant perspectives are incorporated and work with their line manager on effective prioritisation;

  • Enable effective decision-making across ClientEarth’s existing and continuously growing funding portfolio, and occasionally review new funding agreements and advise staff during the contracting process.


ROLE REQUIREMENTS:


Essential

  • Experience working on funder compliance, or in a project management or fundraising role in a medium and/or large global non-profit organisations;

  • Considerable understanding of financial, reputational and legal risks and requirements e.g. when assessing funding opportunities, or when reviewing, negotiating or managing funding agreements.


Desirable

  • Previous experience planning and implementing new processes, tools or ways of working, and working across different departments with staff with different professional expertise;

  • Experience of working with a CRM database, ideally Raiser’s Edge.


JOB PURPOSE:

This is a fixed term role until 31 December 2025. We are happy to consider full time or part time (from 3 days per week) supporting the Funder Compliance and Process Manager (who is on an internal secondment) by progressing important internal intiatives. The successful candidate will have considerable experience working in funder compliance, fundraising or project management in the charity sector.

The post holder will be responsible for proactively progressing various change projects including improving policies, processes and tools working with their manager, fundraising staff and various crossfunctional stakeholders. While an agreed workplan exists, the Senior Funder Compliance & Process Officer is expected to take intiative and make suggestions for improvements or better ways of working.

The Senior Funder Compliance & Process Officer supports our fundraising staff managing ClientEarth’s diverse and growing funding portfolio (size and complexity) in an advisory role on funder compliance and risk queries. The role promotes best practice and supports relevant training needs.

WORKING RELATIONSHIPS:

This post reports to the Funder Compliance and Process Manager. The Senior Funder Compliance & Process Officer is primarily integrated within ClientEarth’s medium-sized fundraising teams consisting of our Grants team focussing on managing our active portfolio of instutional funders and foundations, the Business Development team working on new funding opportunities, and Philanthropy establishing relationships with individuals, corporates and family trusts and foundations. The role is also an important bridge to other teams and departments in the organisation. Key relationships include:

  • Others in the wider External Affairs Department (e.g. Operations, Music & Culture, Communications);

  • Governance & Legal Services Department (especially the Legal Services team);

  • Finance Business Partner team and other relevant members of the Finance Department;

  • Programme Management staff and others as relevant.


KEY RESPONSIBILITIES:

  • Contributing to the delivery of the global Fundraising Strategy through driving improvements of relevant policies, processes and tools along the entire funding management cycle ensuring
    effective and efficient internal operations;

  • Effectively plan and deliver priority initiatives (including policy revision, risk matrix tool development, streamlining corporate income processes) collaborating with stakeholders across the organisation to ensure that relevant perspectives are incorporated and work with their line manager on effective prioritisation;

  • Enable effective decision-making across ClientEarth’s existing and continously growing funding portfolio, and occasionally review new funding agreements and advise staff during the contracting process;

  • Clarify complex issues advising fundraising and programmatic staff on internal processes, contractual compliance, due diligence queries and risk management as needed.


LOCATIONS:

  • This role can be based in ClientEarth’s UK, Belgian or German offices. Occasional travel to other ClientEarth offices might be required, in line with our travel and environmental policies.


PERSON SPECIFICATIONS:

Experience and knowledge 

Essential

  • Experience working on funder compliance, or in a project management or fundraising role in a medium and/or large global non-profit organisations;

  • Considerable understanding of financial, reputational and legal risks and requirements e.g. when assessing funding opportunities, or when reviewing, negotiating or managing funding agreements;

  • Advanced knowledge of MS Suite, especially Excel, open to engage with new tools and technology.


Desirable

  • Previous experience planning and implementing new processes, tools or ways of working, and working across different departments with staff with different professional expertise;

  • Experience of working with a CRM database, ideally Raiser’s Edge.


Key Competencies 

  • Fluent (CEFR level C2) in English;

  • Strong collaborative working, good stakeholder management skills, able to find effective compromises where multiple viewpoints exist;

  • Strong planning and prioritisation abilities, proactively progressing agreed activities / workplan, and being able to adjust flexibly to changes;

  • Able to analyse complex problems and propose solutions, and to break down complex matters into simple language / guidance;
