In this role you will be providing crucial administrative and secretarial support to 2 members of the Senior Leadership Team of the RCPA division.
YOUR KEY RESPONSIBILITIES WILL BE TO:
- Handle the agenda of the Management Team members, coordinate internal and external meetings, conferences and prepare presentations;
- Book business travels and follow up on expenses in line with travel policies;
- Coordinate team building events in collaboration with the Executive Assistant of the Head of Division;
- Screen calls and handle confidential matters;
- Use an array of business software applications (e.g., word processing, presentation and spreadsheet);
- Connect with collaborators at all levels inside and outside of the organization;
- Functional reporting line to the Executive Assistant of the Head of Division;
- Work together with the other Divisional secretary on the onboarding of newcomers & movers (PCCO tasks, updating mail groups and Org chart);
- Assist in preparation & creation on the RCPA SharePoint of divisional communications (announcements, people information, …).
TECHNICAL AND SOFT SKILLS REQUIRED:
You have
- A bachelor or master's degree and at least 2 years of experience as a Secretary/Personal Assistant of senior managers;
- Proactive attitude in scheduling (recurrent & ad hoc) meetings and workshops;
- Efficient interpersonal skills, and the ability to work independently in a multifaceted environment on multiple tasks and under tight deadlines and know how to prioritize;
- Strong (personal) organizational skills;
- Strong communication skills in English;
- Ability to transmit information clearly and transparently.
You are
- Able to play around with different software packages of Microsoft Office (Word, Excel, and PowerPoint);
- Willing to learn programs and tools used in Euroclear;
- Able to provide minimal technical support for setting up hybrid meetings;
- Positive and flexible;
- Discrete, as you will be exposed to sensitive materials and personal information;
- Tactful towards direct colleagues and within the organization;
- Interested in learning and seeking new responsibilities as role and experience grows.
