BACKGROUND:

The European AIDS Treatment Group (EATG) is a European network of nationally-based volunteer activists comprising of more than 150 members from over 45 countries in Europe. Our members are representatives of different communities affected by HIV/AIDS in Europe. 

Mission statement of EATG

EATG is an organisation driven by people living with HIV and key affected populations that is committed to equitable, timely and sustainable access to effective prevention, diagnoses, treatment and holistic care for all people living with and affected by HIV and associated infections and morbidities. 

The primary geographic focus of the EATG is the member states served by the World Health Organization Regional Office for Europe; however, the EATG will consider opportunities to collaborate with and support similar efforts in other parts of the world. 

ABOUT THE READI PROJECT: 

The Research in Europe and Diversity Inclusion (READI) Project aims to increase the inclusivity of underserved and underrepresented (US/UR) populations in clinical studies (CS). As part of this project, EATG will lead Task 4.5, which focuses on developing and implementing a training program tailored for the general public, and Task 6.1, which centres on mapping community stakeholder connectivity. EATG will also participate in other work packages, including the identification of barriers and facilitators in clinical trials (Task 1.3), building community clusters (Task 6.2), and fostering trust and awareness (Task 6.4). 

EATG OBJECTIVES FOR THE CONSULTANT:

  • To manage the overall coordination (including communication, administration, financial monitoring) of the EATG participation in the different aspects of the project;

  • To ensure coordination and regular communications among the different consultants, staff and members involved in the project and ensure that the planned tasks are timely completed and delivered;

  • To promote and ensure the engagement and feedback of EATG members Group. 


KEY RESPONSIBILITIES:

The Project Coordinator will be closely working with the EATG Mapping (WP4) and Training (WP6) consultants and reporting to EATG Partners in Science Programme Manager. The Coordinator is responsible for coordinating EATG’s involvement in the READI Project across Work Packages 1, 4, 6, and 9, ensuring that the organization’s contributions align with its mission and strategic goals. 

In this role, the Project Coordinator will facilitate communication between EATG, READI’s consortium, EATG members involved in the project. and other stakeholders while overseeing the timely and effective delivery of project outputs. They will plan, organize, and manage the completion of deliverables and activities within the READI Project for EATG, ensuring all are on time, within budget, and in line with project objectives. Reporting to the Partners in Science Programme Manager and in collaboration with WP4 and WP6 consultants, the Project Coordinator will: 

Strategy and Work Plan Coordination

  • Coordinate the development of overall EATG’s planning and timeline within the project framework;

  • Overview the implementation of the tasks and activities where EATG is involved;

  • Adapt and update the work plan as needed to respond to evolving project needs and objectives. 


Project Coordination

  • Monitor and coordinate EATG’s deliverables and activities, ensuring timely and quality delivery;

  • Promptly communicate any changes in planned activities to the consortium coordinator;

  • Organize and chair regular or ad-hoc calls and meetings as required;

  • Prepare and communicate project updates, including interim and annual reports, for both the consortium and EATG’s internal reporting;

  • Liaise with the other EATG Consultants, READI consortium coordinator, Work Package leaders, and key partners to discuss progress, address potential challenges, and propose solutions;

  • Track and manage the project budget in collaboration with the Finance Manager;

  • Monitor and record working hours for the project, ensuring timely and accurate completion of timesheets by involved members and staff;

  • Oversee the receipt, approval, and processing of invoices for payment;

  • Regularly report to the Programme Manager, Project Officer, and relevant staff members. 


Community Engagement Monitoring

In close collaboration with the Community Engagement Consultant, the Project Coordinator will: 

  • Oversee community engagement activities, ensuring that the perspectives of patient community and UR/US populations are integrated into project development and outcomes;

  • Engage with EATG members to gather insights and feedback from the community, relaying these findings back to the members to inform ongoing project activities. 


LOCATION:

  • Remote, with occasional travel as required by the project. 


TYPE OF CONTRACT:

Freelance (natural person under direct contract other than an employment contract). The consultant will require their own laptop, a stable internet connection and availability during CET working hours.  

DURATION AND REPORTING:

This consultancy will run from 1st January 2025 until 31st December 2030 with a commitment of 8 hours per week. The consultant will report directly to EATG lead and involved members, providing regular progress updates and highlighting key milestones achieved. 

REQUIRED QUALIFICATIONS AND EXPERIENCE:

  • University degree  in public health, social sciences, project management, or a related field (Master’s degree preferred);

  • At least 3-5 years of experience in project management, preferably in the public health, medicine research and development sector;

  • Proven experience in advocacy work for patients or US/UR groups, community and other stakeholders engagement;

  • Understanding of clinical research and public health;

  • Excellent communication skills in English (both written and spoken);

  • Ability to work independently and as part of a multidisciplinary team; 

  • Strong organizational skills and attention to detail;

  • Experience with EU-funded/IHI scheme projects or similar large-scale consortia.
