DESCRIPTION:

The Alliance for gender equality in Europe is looking for a Programme Assistant for a 6-month internship based in Brussels starting in May 2025 to support its daily operations.

BACKGROUND:

The Alliance for Gender Equality in Europe (the Alliance) is a philanthropic initiative created in 2021 to support and strengthen the grassroots gender equality movement in Europe. It is composed by Bodossaki Foundation, Fondation CHANEL, Fondation de France, Fondation RAJA-Danièle Marcovici, JPMorgan Chase, King Baudouin Foundation, and L’Oréal Fund for Women, and hosted by the Network of European Foundations (NEF). Through grant-making, capacity strengthening, and awareness raising, the Alliance improves gender equality for all by transforming harmful gender norms and addressing the structural barriers that reinforce inequality and exclusion.

NEF provides the legal structure for the donor collaborative and serves as the employer. The Alliance is steered by the member foundations, who also guide its direction. NEF implements the Alliance’s strategy through its dedicated programme team.The current team is composed of a Senior Programme Manager, a Senior Communication & Learning Manager, and a Program Officer.

ABOUT THE ROLE:

The Programme Assistant will support the Alliance team in their daily operations. They will work, under the supervision of the Program Officer. More specifically, they will perform the following tasks (non-exhaustive list):

Events support

  • Help schedule and organise logistics online and in-person meetings, such as steering committee meetings, grantee convenings, grantee webinars, team retreats:



  1. Find and liaise with service providers: venues, catering, accommodation;

  2. Manage meeting registration process;

  3. Gather and process all reimbursement requests from meeting participants.



  • Help prepare meeting documents (practical information, lay-out, formatting, and printing of meeting materials, etc) and materials.


Administrative and financial support

  • Collect requests for payments, checking that the information is complete, and liaising with NEF to ensure timely processing;

  • Take minutes during meetings and events;

  • Help draft the contractual agreements with grantees, donors and consultants, and liaise with NEF to manage signature, filling, reporting, request for payments and other relevant updates in Optimy (our online grants management system).


Communication support

  • Manage the info email address, responding to or re-directing enquiries in a timely fashion;

  • Draft LinkedIn posts and newsletters when needed;

  • Attend events and read reports relating to the work of the Alliance and provide summaries for the team.


And any other tasks that might be required from them.

REQUIREMENTS:

  • Pursuing/holding a degree in gender studies, international relations, political sciences, law, social sciences or related field;

  • Strong organisational and time management skills;

  • Excellent written and verbal communication skills in English;

  • Be adaptable and flexible as part of a small and fast-changing organisation;

  • Good at building and maintaining productive working relationships with people from a wide diversity of background, both in-person and online;

  • Knowledge or strong interest in gender equality in Europe;

  • Committed to the Alliance vision and mission, NEF values and to diversity, equity and inclusion;

  • Previous experience in a non-profit organisation is a big asset.


BENEFITS:

  • A 6-month internship in one of two possible modalities, according to Belgian law:



  1. You are currently enrolled in school. The position is unpaid but you may apply to an Erasmus+ grant. The Alliance will reimburse monthly transportation costs;

  2. You have graduated from your studies. The internship is done under a Convention d’Immersion Professionnelle (CIP) and includes a monthly stipend from 865,90€ to 1056€ monthly, depending on your age.



  • A full-time position (37.5 hours per week);

  • Position based in Brussels with two days of remote work per week – terms to be mutually discussed and agreed upon.


Please note that EU Citizenship or a Belgian Residence Permit is required for this role.
