ABOUT THE JOB:

This is a position within the NATO Communications and Information Agency (NCI Agency), an organization of the North Atlantic Treaty Organization (NATO).

To strengthen the Alliance through connecting its forces, the NCI Agency delivers secure, coherent, cost effective and interoperable communications and information systems in support of consultation, command & control and enabling intelligence, surveillance and reconnaissance capabilities, for NATO, where and when required. It includes IT support to the Alliances’ business processes (to include provision of IT shared services) to the NATO HQ, the Command Structure and NATO Agencies.

NATO Digital Workplace Centre (NDWC) is accountable to the General Manager for the consolidated Agency consultation and collaboration services that comprise the current Digital Workplace, covering the operational NATO services, across all content classifications and security domains, for desktop computing, mail, instant messaging, video teleconference (VTC), content services platforms, telephony, printing and mobility services. Responsibilities also cover the organisation and support of all digital events, meetings and large-scale conferences for both the Agency and NATO stakeholders. Furthermore, the NDWC also has the responsibility for driving the future roadmaps of these services across the NATO Enterprise to enable a NATO Digital Workplace through new services.

The NDWC is led from its headquarter location in the Agency campus in The Hague (Netherlands). The majority of the technical staff and technical capabilities are located in Agency facilities in Brussels, Mons and Braine L’Alleud (Belgium) and Oeiras (Portugal).

DUTIES:

Under the direction of the Head of NATO Digital Workplace Service Delivery, but largely under own initiative, the incumbent will perform duties such as the following:

  • Provide administrative support for the NDWDC Service Delivery Team, ensuring the efficient daily operation;

  • Prepare/compose correspondence, documents, statistical information and presentations, using word processing, spreadsheets, databases, and graphics applications as appropriate;

  • Perform basic analyses, and compile reports and briefings as directed by management;

  • Liaise with administrative staff in other organizational elements to ensure coordination and standardization;

  • Assisting in elaborating and implementing the NDWC risk management strategy, including definition of roles and responsibilities, timelines and internal mechanisms to identify, assess, mitigate, monitor and report risks. Initiating staff familiarisation and documentation of threats and opportunities in SNOW’s corporate Risk Register at project, service and BA levels. Contribution to the risk management directive;

  • Contributing to the preparation of ITSM Templates by defining required details captured in the templates, type of input, processes, support groups, business logic and link to Work Orders and Incidents for implementation and quality checks;

  • Support the Head of NDWC Service Delivery to orchestrate the Service Delivery of NDWC’s service portfolio, considering priorities, resources, capacity, etc.;

  • Support the Service Operations Coordinator for the provision of relevant metrics and oversee the performance with regards to the quality of the services delivered in the NDWC portfolio;

  • Support the preparation and execution of NDWC Services monthly and quarterly performances review, with focus on financials, service quality, strategic initiatives and new business intake;

  • Deputize for higher grade staff as required;

  • Performs other duties as may be required.


ESSENTIAL EXPERIENCE AND EDUCATION:

  • Higher vocational training in a relevant discipline with 3 years post-related experience. Or a secondary educational qualification with 5 years post-related experience;

  • Skilled in the use of advanced computer-based tools in the areas of office automation (MS Office Suite especially MS Excel, MS SharePoint);

  • Familiar with principles of accounting and finance;

  • Proven ability to communicate effectively orally, using tact and diplomacy, and in writing with effective briefing skills.


DESIRABLE EXPERIENCE AND EDUCATION:

  • Prior experience of working in an international environment comprising both military and civilian elements;

  • Previous NATO or Government Organisation experience;

  • Knowledge of NATO responsibilities and organization, including Allied Command Operations (ACO) and Allied Command Transformation (ACT).


LANGUAGE PROFICIENCY:

  • A thorough knowledge of one of the two NATO languages, both written and spoken, is essential and some knowledge of the other is desirable;

  • Note: Most of the work of the NCIA is conducted in the English language.
