Reporting to the Office Director, the Head of Operations encompasses a wide range of responsibilities aimed at ensuring effective operations and achieving strategic objectives. Main duties and responsibilities:

  • In close collaboration with relevant colleagues in the newly established and growing Global Operations Hub and the Office Director, you translate the overall organisational strategy into efficient work processes (administrative, finance and HR flows) for the Brussels office;

  • By building and maintaining excellent relationships internally to better understand business needs and strategies, you mitigate potential risks and obstacles and facilitate the organisation’s development. You ensure effective communication and cooperation across the Bellona group and you advocate Bellona’s new ways of working;

  • By identifying and analysing bottlenecks in the internal organisation, you estimate ROI and set up improvement projects with a focus on digital transformation;

  • You contribute to and implement, together with the global team, the foreseen significant changes in Bellona’s tools and platforms, including ERP system Odoo, to facilitate better cross-office collaboration as well as internal process flow;

  • You identify the needs for personal development, strengthening of people’s skill sets to take on new challenges and to deal with organisational changes;

  • You oversee daily activities across functions such as grant and project deliverables, digitalisation (e.g. document management), budget management, HR, payroll and office administration. Ultimately, you ensure operations run smoothly and team members are happy;

  • You elaborate clear work processes, job descriptions, roles and responsibilities. You also assist in hiring and on-boarding.


  • You have a Master’s degree, preferably in Applied Economics or Commercial Engineering or equivalent through experience;

  • You have some years’ experience in a leading position with responsibility in operational management, preferably in a project-related business in an international context;

  • You have knowledge and experience in structuring, managing and continuously improving operational processes (HR practices and organisational development);

  • You have experience with the implementation of ERP systems, preferably in an NGO or non-profit/advocacy environment;

  • As a change manager, you are a strong people manager who is able to enthuse, motivate and coach people. You operate among people and roll up your sleeves where necessary, while keeping track of the overall picture;

  • You are fluent in one of the national languages (French or Dutch). You have an excellent knowledge of English, both written and spoken;

  • You are based in the office in Brussels and are willing to travel occasionally within the EU.
