The Senior Facilities Manager is responsible for overseeing and managing the operational and strategic aspects of both hard and soft services in Facilities Management across multiple locations within a designated region. This role requires strong leadership skills, the ability to manage a diverse team, and to ensure the proper functioning and maintenance of facilities in accordance with company standards, policies, and regulations.

KEY RESPONSIBILITIES:

Strategic Planning

  • Develop and implement a comprehensive facilities management strategy for the region;

  • Align facilities management objectives with business goals and objectives;

  • Develop and monitor key performance indicators to measure the effectiveness of facilities services.


Team Management

  • Manage and provide leadership to a team of facilities managers, technicians, and support staff;

  • Set performance standards, conduct regular performance reviews, and coach team members for professional development;

  • Foster a high-performance culture that promotes teamwork, accountability, and effective communication.


Budgeting and Cost Control

  • Develop and manage budgets for the region, ensuring cost-effective delivery of services and adherence to financial targets;

  • Monitor expenses and identify areas for optimization and cost savings;

  • Procure and manage vendor contracts to ensure services are delivered at optimal costs.


Hard Services

  • Oversee maintenance, repairs, and upgrades of building systems, equipment, and infrastructure (such as HVAC, electrical, plumbing, etc.) in compliance with safety and regulatory requirements;

  • Ensure routine preventive maintenance schedules and inspections are carried out on time;

  • Coordinate major capital improvement and renovation projects.


Soft Services

  • Manage and ensure the delivery of high-quality soft services, including janitorial, landscaping, pest control, waste management, and security services;

  • Monitor service providers’ performance, conduct regular audits, and implement corrective actions when necessary;

  • Maintain a safe and secure working environment for all occupants.


Compliance and Risk Management

  • Ensure facilities comply with all local, state, and federal regulations, including OSHA, fire and safety codes, ADA, and other applicable laws;

  • Develop and implement emergency preparedness and business continuity plans;

  • Identify and mitigate potential risks by implementing appropriate controls and processes.


Stakeholder Management

  • Liaise with internal stakeholders (such as property managers, HR, IT, and finance teams) to align facilities services with business requirements;

  • Establish strong relationships with external stakeholders, including building owners, landlords, vendors, and regulatory agencies.


Cultural Competence

  • Familiarity with German culture and working practices, including local customs, traditions, and business etiquette;

  • Ability to navigate and adapt to cultural nuances to effectively communicate and build relationships with German stakeholders;

  • Knowledge of German regulations and compliance requirements specific to facilities management.


Communication and Language Skills

  • Fluency in both written and spoken German and English;

  • Exceptional interpersonal and communication skills, including the ability to communicate complex ideas clearly and concisely;

  • Strong presentation and negotiation abilities to engage with stakeholders at various levels;

  • Demonstrated ability to work effectively with diverse teams and foster a collaborative work environment.


QUALIFICATIONS AND SKILLS:

  • Bachelor's degree in Facilities Management, Engineering, Business Administration, or a related field (equivalent work experience may be considered);

  • Proven experience in facilities management or related field, with a strong focus on both hard and soft services across multiple geographies;

  • In-depth knowledge of building systems, maintenance procedures, and best practices;

  • Strong leadership and people management skills;

  • Excellent communication and negotiation abilities;

  • Budgeting and financial management experience;

  • Knowledge of local regulations, codes, and permits related to facilities management;

  • Strong problem-solving and decision-making skills;

  • Ability to prioritize effectively and work well under pressure.
