DESCRIPTION:
As part of the Legal, Governance and Regulatory divisions, the Corporate Governance team has the responsibility for the Group’s corporate governance. As such it is working in close collaboration with the different company’s decision making bodies and ensures that the corporate governance framework for the company is properly designed, implemented and maintained in line with the regulatory framework, Strategy and Purpose of the Group.
It is supporting the Managing Bodies and Committees on all governance matters. This includes amongst other elements developing and implementing processes to promote and sustain good corporate governance, organizing and recording accurate decision-making at Management Committee, Board, Board Committees and General Assembly level and advising the Board/Management in the execution of their roles, as well as handling various corporate housekeeping and legal vehicle management.
The Corporate Governance team is keen to contribute to the establishment and maintaining of Good Governance principles and practices.

ABOUT YOUR ROLE:
As an executive assistant, your primary responsibility will be collaborate with the personal assistant to the Chairman of the company and the Corporate Governance team, in charge to:
- Handle the agenda, coordinate internal and external meetings;
- Book international travels. Follow up on expenses in line with Euroclear travel policies and coordinate with relevant teams of external mandates for expenses related to these mandates;
- Handle vital travel documents, Visa’s, passports;
- Handle administrative tasks, e.g. submitting / uploading forms, follow up, make appointments where in-depth discussion are needed;
- Recording of registrations to seminars and follow up on practicalities, invoices, e.g. Eurofi, COP, Davos, IMF;
- Be in close contact with the staff of the Corporate Secretariat team to prepare the ESA Board cycle, and other logistics for the Boards and Committees;
- Screen incoming calls and emails as well as handle confidential matters;
- Reviewing, printing and lay-out of documents;
- Use an array of business software applications (e.g., word processing, presentation and spreadsheet);
- Connect with stakeholders at all levels inside and outside of the organization.
REQUIREMENTS:
- A bachelor or master's degree and at least 5 years' of experience as an Executive / Personal Assistant of senior managers;
- Proactive attitude in scheduling travels, (recurrent) meetings, workshops;
- Knowledge in different software packages of Microsoft Office (Word, Excel, and PowerPoint);
- Very efficient organizational skills, and the ability to work independently in a multifaceted environment on multiple tasks and under tight deadlines ; know how to prioritize;
- Strong communication skills in English. Ability to transmit information clearly and transparently.
