JOB DESCRIPTION:
UITP (International Association of Public Transport) is a passionate champion of sustainable urban mobility and is the only worldwide network to bring together all public transport stakeholders and all sustainable transport modes. We have more than 1,900 member companies coming from over 100 countries. Our members are public transport authorities and operators, policy decision-makers, research institutes and the public transport supply and service industry.
In Europe, UITP’s main activity consists of working closely with European Union Institutions, bringing together more than 450 urban, suburban and regional public transport operators and authorities from all member states. UITP represents the perspective of local passenger transport services by all sustainable road, rail and waterborne modes.
Our team of UITP experts monitors EU legislative developments impacting the public transport sector. They assist and advise members and EU decision-makers concerning all aspects of relevant European policies and inform of these developments through various publications and activities.
The role of the person we are looking for will be to provide organisational and administrative support to the team made of employees and seconded experts with different background.

RESPONSIBILITIES:
- Ensure the Day-to-day management of agenda and general office management, including some light accounting, invoicing and budget support for the department;
- Support communication within the department (consultants and staff) , ensuring a smooth coordination of all activities of the department, considering cultural or contractual differences;
- Help in the management of the EU Committee and of the Europe Division (drafting of the agenda, presentations, minutes,etc…);
- Support the planning and organisation of meetings and business trips;
- Ensure Logistic organisation of conferences/seminars/workshops;
- Coordinate Publications when needed (reports, flashnews, etc.);
- Provide assistance for Contact management and the update of the database;
- Dispatch, when available, external information EU Affairs related (news, events, etc);
- Provide Assistance in administration and coordination of some EU projects (minor);
- Ensure written correspondence and phone communication, minor translations, typing of minutes;
- Fulfil his/her mission according to the internal culture and values, the code of conduct, and on the principles of caring management.
REQUIRED PROFILE / COMPETENCIES:
- Excellent organizational and communications skills;
- Excellent writing skills in English (excellent) and French, other EU languages being an asset;
- Proficiency in IT Tools, word, excel, PP but also tools like Teams/sharepoint;
- Ability to define priorities and manage time;
- First professional experience in a similar organisation/position is valuable;
- Agile, flexible and with a positive attitude.
