JOB DESCRIPTION:
As a Senior Bid Coordinator within the Europe and Asia (E&A) Business Development team at ICF, you will play an essential role in contributing and leading to proposal submissions. This role is pivotal in ensuring the delivery of high-quality, compliant, and competitive proposals across a wide range of sectors and clients, particularly within the European Union (EU).
You will collaborate with internal technical experts, pricing analysts, legal and procurement teams, and external partners to develop compelling proposals that align with client expectations and ICF’s strategic goals.

YOUR RESPONSIBILITIES:
Your main responsibilities include:
- Coordinate the end-to-end bid process, including scheduling, document management, and stakeholder communication;
- Review tender documentation to extract key requirements, deadlines, and evaluation criteria;
- Support the development of proposal content by liaising with technical teams, partners, and subcontractors;
- Manage internal workflows and ensure timely contributions from all stakeholders;
- Format and compile proposal documents in line with client specifications and branding guidelines;
- Maintain bid trackers, content libraries, and templates to support efficient proposal development;
- Assist in organising and documenting bid reviews (e.g., Pink, Red, Gold Team reviews);
- Ensure compliance with internal processes and external procurement requirements;
- Contribute to lessons learned and continuous improvement initiatives.
SKILLS AND EXPERIENCE:
- 3-5 years of experience in bid/proposal coordination, preferably in a consultancy or public sector environment;
- Strong understanding of public procurement processes; experience with EU institutions is highly desirable;
- Excellent organisational and time management skills, with the ability to manage multiple deadlines;
- Strong attention to detail and commitment to quality;
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Teams); experience with SharePoint or CRM systems is a plus;
- Strong written and verbal communication skills in English; additional European languages (e.g., French or Spanish) are an asset;
- Ability to work independently and collaboratively in a fast-paced, deadline-driven environment.
