WHAT WE ARE LOOKING FOR:

We are looking for an Assistant to the Talent Leads who is organized, proactive, and collaborative to join our Support, Facilities & Administration team, based at our Head Quarters office, in Brussels, Belgium.

As an Executive Assistant, you will be a key partner in ensuring the smooth operation of the Talent team. You will provide high-level administrative support to senior leaders, proactively managing schedules, coordinating meetings, and handling confidential information with discretion. Your role will be critical in enabling efficiency and fostering strong communication between the team and stakeholders.

WHO YOU’ll WORK WITH:

You will work closely with senior leaders, internal stakeholders, and cross-functional teams to support key business activities. Collaboration with assistants across departments will be essential to ensure seamless coordination and operational efficiency.

YOUR ROLE:

  • Manage complex calendars, appointments, and meetings to optimize efficiency and maximize productivity;

  • Handle confidential correspondence, draft reports, presentations, and business documents with high accuracy;

  • Coordinate all travel arrangements, including flight bookings, accommodations, and expense reimbursement processing;

  • Act as a central communication link between the Talent team and key internal and external stakeholders;

  • Support the execution of critical projects by tracking deliverables, managing follow-ups, and ensuring deadlines are met;

  • Organize and coordinate team events, business meetings, and employee engagement activities for better collaboration.


EDUCATION, EXPERIENCE AND SKILLS:

  • Minimum of 3 years’ experience as an executive assistant supporting senior management leaders;

  • Strong organizational and time management skills, with keen attention to detail and ability to multitask;

  • Excellent verbal and written communication skills, with a strong ability to interact professionally at all levels;

  • Proficiency in PowerPoint, Excel, Word, and adaptability to new digital tools and business systems;

  • Ability to effectively manage multiple priorities, work under pressure, and meet tight deadlines consistently;

  • A proactive and solution-driven mindset, with a positive attitude and ability to adapt to change.
