YOUR ROLE:
As an Administrative Management Assistant, you will:
- Coordinate onboarding and offboarding of external service providers, including security screenings, communication with companies;
- Liaise with HR and technical teams regarding provider status and logistics;
- Guide external providers and Business Line Managers (BLMs) through mission-related workflows and ensure internal procedures are followed;
- Review monthly timesheets and send timely reminders to providers and BLMs;
- Prepare reports for internal meetings and track task progress;
- Organize and monitor participation in biannual training sessions for external providers and attend service contract meetings twice a month to present updates;
- Manage telework-from-abroad requests throughout the year;
- Track software license renewals and maintain accurate records and handle new license requests and coordinate with IT teams for delivery and installation.
QUALIFICATION:
- 2-3 years of experience in administrative or management support roles;
- Proficiency in MS Office Suite (Teams, Word, Excel, Outlook);
- Experience with Gekko, Skype for Business, and Click/Power BI;
- Knowledge of eProcurement;
- Customer orientation and service mindset;
- Strong organization skills with attention to detail, maintain confidentiality wherever required and ability to manage multiple tasks efficiently;
- Excellent communication skills, with a strong command of spoken and written English;
- Knowledge of/or experience in an ITIL environment would be a plus.
