JOB DESCRIPTION:
EPF’s general administration/HR
Support all administrative duties to ensure the smooth day-to-day running of the office, including:
- Provide support to create, compile and update administrative and legal documents as necessary;
- Serve as the focal point for staff in terms of service providers including IT support, Social Secretariat, insurance companies, etc;
- Manage office resources, including supplies and equipment;
- Occasional logistic support for EPF events.
EPF’s finance and accounting
- Enter accounting data and prepare database extractions as needed;
- Process per diem calculation and payments;
- Ensure that the external accountant has up-to-date financial information, that invoices are processed, and payments are prepared on time;
- Help compile annual reports and audited accounts;
- Work closely with Finance and Programme Coordinator to provide mutual support when needed.
Support EPF’s Executive Director
- Assist with the management and upkeep of the ED’s calendar;
- Administrative and technical support to the ED including correspondence, minute taking, liaising with external partners, actors and suppliers;
- Assist with ED’s travel and related logistics.
SKILLS AND QUALIFICATIONS:
Essential
- Relevant university degree or equivalent work experience in administration, financial and human resources support;
- Strong numerical and financial skills and familiarity with associated software, including good knowledge of MS Excel;
- Fluent French and good level of English;
- Experience in coordinating service providers;
- Impeccable attention to detail; flexible, proactive and resourceful with good organisational skills and the ability to manage competing priorities;
- Willing to travel occasionally;
- Commitment to EPF’s vision and mission;
- Must be able to legally work in Belgium.
Desirable
- Proven experience in data entry in different accounting systems;
- Familiarity with not-for-profit organisations, especially with Belgian AISBL.
