JOB DESCRIPTION:

  • Title: Events Officer;

  • Purpose: To deliver a comprehensive events service for EHMA, supporting the organisation and production of the Annual Conference as well as other events, executive workshops, seminars and training activities related to European-funded projects, health practices, and policy;

  • Support: This post reports to the Events Manager. Works closely with the Communications Manager and officer, and collaborates with the Policy and the Project departments;

  • People management: Supports and supervises interns. Liaises with contractors and Consortium Partners;

  • Salary: The basis salary is €2,300 and up to €3,000 gross per month, depending on experience. A benefits package is also provided, including meal vouchers of 8€ per day, up to 50€/month for phone reimbursement, public transport reimbursement of 50€/month, a complementary pension plan, hospitalisation insurance, and 5 days of paid extra-legal holidays over the Christmas period;

  • Terms: Full time, open-end contract based in Brussels and subject to Belgian law. Formal performance review conducted after six months;

KEY RESPONSIBILITIES:

  • Execute a dynamic portfolio of events, including primarily the Annual Conference, as well as workshops, training activities, consortium meetings, conferences, and webinars;

  • Support the organisation of all EHMA internal events, including team meetings, Special Interest Group meetings and events, and Members’ activities, providing logistical support, travel planning, and updating the internal calendars;

  • Coordinate and support all facets of logistics, including sourcing and liaising with suppliers, on-site and online support, and post-event follow-ups;

  • Support the development and maintenance of excellent stakeholder relationships which includes the identifying, mapping and engagement with a broad range of people, organisations, agencies, and companies, and ensure outstanding customer service is provided to all our stakeholders;

  • Facilitate high-level engagement and attendance at EHMA events and initiatives working in collaboration with colleagues to develop marketing campaigns, including writing newsletters, social media posts, and blogs;

  • Develop reports on metrics, progress, and outcomes of various events and activities, including minutes, summaries, and actions logs.

  • Familiarity with European venues and systems for suppliers contracting;

  • Skilled in developing and delivering pre and post event metrics.

  • Excellent skills in communication, both oral and written;

  • Ability to use visual design tools and editing tools and applications (e.g. Canva, InDesign) to create attractive and engaging marketing and promotional materials;

  • Uses of social media and newsletters for maximum reach of audiences for promotional purposes.

  • Outstanding telephone manner and customer service skills;

  • Have a critical eye in terms of quality, accuracy and meticulous attention to detail;

ABOUT THE POSITION:

To build excellence in health management we lead initiatives including research projects, working groups, policy and communication campaigns, and events. We are organised in three departments: projects, policy, and operations. The Senior Management and the Management teams provide leadership and support to all departments.

The successful candidate will be part of the Operations Team and support the full portfolio of EHMA’s events. They will contribute to the organisation of the Annual Conference as well as other events, executive workshops, and training activities related to European-funded projects, health practices, and policy.

The Events Officer will report to the Events Manager and collaborate with the Policy Team to ensure all EHMA’s events incorporate the latest health management knowledge; and with the Project Team to leverage all our initiatives and networks.

REQUIREMENTS:

The successful candidate will:

PROFILE:

  • You have comprehensive event management skills for both in-person, hybrid, and online events and you bring 1 to 3 years of direct experience;

  • You have solid negotiation skills, and are comfortable building and maintaining fruitful relations with a variety of stakeholders including suppliers, providers, sponsors, partners and clients;

  • You can demonstrate outstanding organisational skills; priority setting; and ability to work on multiple tasks simultaneously to meet different deadlines;

  • You have very good interpersonal skills and are a solution-focused team player. You have experience working in a small, busy, international team;

  • You have excellent written and oral communication skills (English);

  • You are proficient in using Microsoft Office tools, including Microsoft Teams, SharePoint and other virtual collaboration tools;

  • You are willing to travel within Europe when required.


JOB PACKAGE AND ELIGIBILITY:

This position is offered according to Belgian national legislation. It is an offer for a full-time position of 38 hours per week with an open-end contract.

For this position, the monthly gross salary ranges between €2,300 and €3,000 depending on experience and qualifications, and will also include benefits such as meal vouchers, financial support towards the use of public transport to work, and complementary pension insurance. The post will combine in-office and remote work, as well as occasional travel. The successful candidate will be supplied with necessary materials to work remotely, as required (e.g., laptop).
